Who we are
This website is run by ROK 360 Limited (trading as ROK360), a company registered in England and Wales under company number 10538760. Our address is Unit 39, Gerrards Park, College Street, St Helens, Merseyside, WA10 1FZ. In this policy, "Rok360", "we", "us" and "our" mean that company.
We are the data controller for the personal information we collect through this website. If you have any questions about this policy or how we use your information, email us at [email protected] or write to us at Unit 39, Gerrards Park, College Street, St Helens, Merseyside, WA10 1FZ.
What we collect
We only collect information you choose to give us, plus a small amount of technical information that every website receives.
When you book a demo or contact us
- Your name, company name, work email address and phone number (if you give it)
- Your site type, floor area and anything else you tell us in your message
When you use the savings calculator
- The figures you enter: site type, floor area, how often you clean and your current cleaning spend
- Your email address, if you ask us to send you your full breakdown, along with the results the calculator produced
When you use our chat assistant
- The messages you send, and any contact details you choose to share so we can follow up
Technical information
- Your IP address, browser and device type, and the pages you visit. This is collected automatically by our website platform and the services that deliver fonts and code to your browser.
We don't ask for, and don't want, any sensitive information such as health details. Please don't include it in messages to us.
How we use it
- To arrange and run demos, answer your enquiry and send you the information you asked for
- To recommend the right robots for your site and prepare quotes
- To follow up on your enquiry by email or phone
- To manage our relationship with customers, including installation, servicing and support
- To keep the website secure and working properly, and to understand how it's used so we can improve it
We won't add you to a marketing mailing list unless you've agreed to it, and you can unsubscribe from any marketing email at any time.
Our legal basis
Under UK data protection law (the UK GDPR and the Data Protection Act 2018), we must have a legal reason to use your information. We rely on:
- Legitimate interests: responding to business enquiries, following up on demo requests and calculator results, and running and improving our website. We only do this in ways you'd reasonably expect.
- Contract: where we're preparing a quote or supplying robots and services to your organisation.
- Consent: for any non-essential cookies and for marketing emails. You can withdraw consent at any time.
- Legal obligation: where we need to keep records for tax, accounting or legal reasons.
Who we share it with
We never sell your information. We only share it with trusted service providers who help us run the business, and only as much as they need:
- Our website and CRM platform (HighLevel / LeadConnector), which hosts this website, processes form submissions and stores enquiry records
- Email providers we use to send and receive messages
- Content delivery services such as Google Fonts and Cloudflare (cdnjs), which deliver fonts and code to your browser and receive your IP address when they do
- Our professional advisers, such as accountants and lawyers, where needed
- Regulators or law enforcement, if the law requires it
These providers act on our instructions and must keep your information secure.
International transfers
Some of our providers, including our website platform, are based in or store data in the United States. Where your information is transferred outside the UK, we make sure it's protected by appropriate safeguards, such as the UK-US data bridge or the UK International Data Transfer Agreement.
How long we keep it
- Enquiries, demo requests and calculator results that don't lead to a sale: up to 2 years from our last contact with you
- Customer records: for as long as you're a customer, then up to 6 years for legal and accounting reasons
- Chat conversations: up to 12 months
After that, we delete or anonymise it.
Your rights
You have the right to:
- Ask for a copy of the information we hold about you
- Ask us to correct anything that's wrong
- Ask us to delete your information
- Object to, or ask us to limit, how we use it
- Ask us to transfer it to another organisation
- Withdraw your consent at any time, where we rely on consent
To use any of these rights, email [email protected]. We'll respond within one month. There's no charge in most cases.
Keeping it secure
We use appropriate technical and organisational measures to protect your information, including encrypted connections (HTTPS), access controls and reputable service providers. No website can be completely secure, but we take the protection of your information seriously.
Cookies
We use a small number of cookies to make this website work and, with your consent, to understand how it's used. See our Cookie Policy for details.
Complaints
If you're unhappy with how we've handled your information, please contact us first at [email protected] and we'll do our best to put it right.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.
